Buzzbot, Inc. Privacy Policy

To provide the Services, a User connects their own (or, for a Parent acting on behalf of a younger Student, their child’s) accounts or access credentials for the School’s communication systems — for example, a learning management system, student information system portal, school calendar, or email account — to Buzzbot. Buzzbot then ingests the information that the connected account is able to view (which, in the ordinary course, is limited to information about that individual Student) in order to generate customized information and actionable insights for the Student. You are responsible for ensuring that connecting your (or your child’s) school account to Buzzbot is consistent with your School’s own acceptable-use policies and any applicable terms governing that account, and for disconnecting an account (for example, in your account settings) if you no longer want Buzzbot to access it.

Because Buzzbot receives this information at your (or your Parent’s) direction, rather than under an agreement with your School, Buzzbot’s receipt and use of information from your School’s systems relies on your or your Parent’s own rights with respect to that information — including a Parent’s or eligible Student’s right under the Family Educational Rights and Privacy Act (“FERPA”) to access and direct the disclosure of the Student’s own education records — rather than on any designation of Buzzbot as a “school official” by the School.

If the Student is under 13, a Parent must create and manage the Buzzbot account on the Student’s behalf, as described in Section 8 below. A Student who is 13 or older may create their own account. A Parent may also create a linked account to view the same information and insights made available to their Student.

We use the information described above only to provide the Services to you — that is, to ingest information from your connected communication sources, consolidate it, and deliver customized information and actionable insights to the Student, and to operate, secure, support, and improve the Services for that purpose. We also use information as necessary to:

• Authenticate Users and control access to the Services, including access by a Parent to a linked Student account;
• Communicate with you about your account and the Services;
• Detect, investigate, and prevent security incidents, fraud, or misuse; and
• Comply with applicable law or respond to lawful requests.

We do not use student information to serve targeted advertising, and we do not sell student information, or any other personal information, to third parties.

Because Buzzbot’s Services are designed to require no third-party data processors, Buzzbot does not share Customer Data, including Student Data, with any subprocessor or other third-party vendor in the course of providing the Services. All hosting, processing, and support of the Services is performed using Buzzbot’s own personnel and infrastructure.

We may disclose information in the following limited circumstances:

• Between a linked Parent and Student account, as necessary to provide the family-linked features of the Services;
• If Buzzbot engages a data processor in the future to support the Services, only after updating this Policy to identify the processor and describe the processing, and only subject to written data-protection commitments consistent with those described in this Policy;
• To comply with a valid legal process, protect the rights, property, or safety of Buzzbot, our users, or others, or as otherwise required by law; and
• In connection with a merger, acquisition, or sale of assets, subject to the acquiring party’s commitment to honor the terms of this Policy with respect to previously collected information.

We may also share information in de-identified or aggregated form that cannot reasonably be used to identify a specific individual, for purposes such as improving the Services.

We retain information for as long as your account is active and as needed to provide the Services, and thereafter for a limited period as reasonably necessary to wind down the account, resolve disputes, and comply with our legal obligations. When you or your Parent close your account, or disconnect a school communication source, we delete or de-identify the associated information within [30] days, except where we are required to retain information for a longer period by law.

We maintain administrative, technical, and physical safeguards designed to protect information from unauthorized access, use, or disclosure, including encryption of data in transit and at rest, access controls that limit access to personnel who need it to provide the Services, and ongoing monitoring of our systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

The Services are intended to be used by Students of any age, including children under 13, together with a Parent. Because Buzzbot provides the Services directly to individual Users rather than through a School, the school-official consent model that applies to some school-procured products does not apply here: where a Student is under 13, Buzzbot obtains verifiable consent directly from a Parent before creating an account for, or collecting personal information from, that Student, consistent with the Children’s Online Privacy Protection Act (COPPA).

For a Student under 13:

• A Parent must create and verify the family account, provide consent to Buzzbot’s collection of the Student’s information, and connect the Student’s school accounts on the Student’s behalf;
• Buzzbot will collect no more personal information from the Student than is reasonably necessary to provide the Services, and will not condition the Student’s participation on disclosure of more information than is reasonably necessary; and
• A Parent may, at any time, review the personal information collected from their child, request that it be deleted, and refuse to permit further collection or use of their child’s information, by using the parental controls in the Services or by contacting us at the address below. Refusing further collection may mean the Services can no longer be provided to that Student.

A Student who is 13 or older may generally create and manage their own account, subject to our Terms of Service; where required by applicable law, we may still request Parent involvement for certain account or privacy settings.

You (or, for a Student under 13, your Parent) may access, correct, download, or request deletion of your information, and manage which school accounts are connected to the Services, through your account settings or by contacting us using the information below. A Parent with a linked account may also exercise these choices on behalf of their child.

Buzzbot’s Services are intended for use by Schools located in the United States, and information is stored and processed in the United States. [If Buzzbot serves customers outside the U.S. or transfers data internationally, this section should be updated to describe the applicable safeguards.]

We may update this Policy from time to time. If we make material changes, we will notify our School customers and update the “Last Updated” date above. We encourage Schools to review this Policy periodically.
